Job Description
Our client is looking for an individual with strong interpersonal skills who enjoys variety in their working day, to join as Receptionist/Facilities Assistant on a full-time, permanent basis.
This is a dual role, working on our Reception Desk two days a week and assisting our busy Facilities Team for the remainder of the week. This role will also require holiday and lunchtime cover for the Receptionist.
Role Responsibilities
– Operate the office switchboard
– Provide reception ‘meeting and greeting’ services to clients and office visitors
– Organise client meeting room booking requests and prepare rooms for meetings
– Provide routine office administration to assist the wider business
– Book taxis and local accommodation for our people
– Liaise with external office services e.g. couriers and receive small deliveries from suppliers or clients
– Manage the office equipment loan stock for staff, for example portable printers and scanners
– Co-ordinating taxi bookings and assisting with administrative tasks.
– Replenish and maintain the kitchen areas on each floor including recycling bins
– Monitor and replenish the vending machine in Staff Room
– Collect and distribute fruit and milk deliveries
– Monitor shredding bins on each floor and arrange collection
– Maintain photocopier and stationary areas on each floor – distribute supplies and consumables
– Maintain oversight and ensure appropriate stock levels for vending machines and water towers
– Ordering supplies for the kitchens, vending machine, printers and stationery
– Any Ad-Hoc duties as required from time to time
Skills & Experience Required
– Logical approach to task management
– Proficient in MS Office
– Excellent communication skills
– Strong interpersonal skills
– Self-motivation and ability to use own initiative
