Job Description

Our client is currently seeking an experienced Personal Assistant to provide high level support to three Executives for approximately three months.

Role Responsibilities

– Provide PA support to the CEO, Head of Global Sales and Head of International Operations. This includes diary management support, managing schedules, coordinating meetings, handling correspondence, and performing a variety of tasks with a high degree of confidentiality and professionalism.

– Required to make meeting arrangments and urgent amendments at short notice.

– Responsible for collating monthly management information and publication of Board Intelligence.

– Liaise with external brokers and venues, arranging meetings.

– Preparing the agendas for the CEO office.

– Organising and booking all travel for various areas of the buisness ensuring they are aligned with company procedures.

– Managing expenses.

– Conducting accurate housekeeping of direct reports for both holidays and absences.

– Working with EA’s / PA’s and Business Managers on a daily basis and maintaining good working relationship.

– Identifying potential problem areas and providing appropriate solutions and alternatives where appplicable.

– Maintain a postive and productive working relationship with relevant stakeholders to enable problems to be resolved at sources without any unnescessary escalation.

– Booking meeting rooms when requested

– Organising Board and ExCo lunches, setting up the boardroom for meetings when required.

Skills & Experience Required

– Ability to work within a team and on your own initiative, without regular guidance and supervision often for extended periods of time.

– Maintaining an extremely high level of accuracy, while working within the agreed service standards.

– Able to maintain an extremely high level of confidentiality

– Ability to work under pressure and work to tight deadlines.

– Proactive and keen to expand knowledge and take on additional tasks when required.

– Flexible positive can-do attitude, especially through periods of change.

– Ability to network across the business areas to give and receive information.

– Strong influencing and inter-personal skills.

– Ability to meet individual targets and goals with accurate results.

– Demonstrate skills in Microsoft Office products, particularly data handling in the preparation of management information.

– A good working knowledge of business areas.
